  • Time period of invoice:

Here at WDYC we issue fees to the Queensland State School Terms. Which typically run for 10 weeks. Therefore, your invoice will reflect a 10 week term.

When are invoices sent out and due?

Invoices are sent out and payments are due prior to the term commencing. Please note, your child/or family invoice must be paid prior to term commencing for attendance.

    Payment Plans:

We do offer payment plans. Please see our polices on partial payments and payment plans for more details. These payment plans must be confirmed by our accounts team.

    Membership and Insurance Invoice:

Your first invoice for every calendar year gymnasts are required to pay their Gymnastics Queensland and Australia Registration and Insurance (which is transferrable between affiliated clubs) AND their WDYC Membership. These two fees are only paid once each calendar year and would not be included on subsequent invoices.

Gymnasts must pay and be registered with Gymnastics Australia within 30 days of the free trial. If these registration and insurance fees are not paid to WDYC by the due date on your invoice, WDYC cannot register your child and allow them into their class.

    The Fee?

This fee will be different depending on which program you are part of (e.g. Kinder, Recreational, or Competitive). Please contact reception to confirm the appropriate fee for your child’s class.

The insurance cover is valid from 1 st January - 31st December and it is compulsory that gymnasts pay the fee at the beginning of each year or they are unable to attend any training sessions or competitions. The fee is only charged once per calendar year.

What if I have paid this at another club OR I am wanting to move to a new club?

The registration is transferable between clubs but not transferable from one gymnast to another. Proof of payment is required when transferring clubs.

    What does this insurance cover?

The insurance is there to cover your child in the unfortunate event there is an injury. The Gymnastics Australia/ Gymnastics Queensland fee is set annually and covers members for certain medical expenses up to a maximum of 12 months from the date of injury.

Please note, if your child does injury themselves in class they must advise their coach. Without coach, team leader, and/or management knowledge of injury we will not be able to provide the appropriate documentation to support the insurance claim.

You can find more information on the Gymnastics Australia website here: https://www.gymnastics.org.au/insurance

  • Each term WDYC will apply a $25 equipment levy to all term fee invoices. This levy helps cover the cost of minor equipment purchases like first aid supplies, mats, beat boards, supplementary equipment and chalk as well as assisting in Venue maintenance and upkeep.

  • If your child is unwell or you are unable to attend a session we do offer Make-up lessons for our Recreational Programs only. This is dependant on spaces available in other classes.

If your child is away for any reason or is sick we ask you to please advised us as soon as possible. We will then mark this on your account and you are entitled to a make up lesson.

How do I get a make up?

You must advise us on the day or prior to the day that your child is going to be away. This can be via phone call or email to our reception team. If you do not advise us of a missed lesson we will not back date a missed lesson.

How long do I have to use a make up?

You can use your make up within the calendar year. Please note, we do not transfer them across to a new calendar year.

Can I use make ups towards WDYC Holiday Programs?

2 make ups = x1 half day program

What if I forget to tell you about a missed lesson?

Ideally, we are advised prior to or on the day of the missed lesson. However, WDYC understands life happens but ask that you advise us still within the week of a missed lesson. Anything past this WDYC will not back date.

If you have a medical certificate excusing your child from class WDYC will honour this.

Term Role overs & class graduations

  • Term Roll Overs:

At the end of each term we email all members who have graduated out of their current class to move them to a more advanced class.

    New Year Roll Overs:

At the end of each year we email all members who are now age eligible for a different class to move them. All other members are rolled over to their current classes unless due to staffing or space requirements we need to move class days or times.

  • If you are not returning next term please let the office know as soon as you can as there may be people on the waitlist for your child’s spot in that class.

If you do not advise us you are not returning, you will be required to make payment on the classes you had missed. This is because some of our classes are highly sort after and your child would be holding a place.

  • What is WDYC class testing:

To make sure all kids are in an appropriate class we conduct testing every term to ensure kids are still being challenged. Each class type has different skills/standards that need to be completed before moving to a more advanced class.

When do we do in class testing:

Each term we do in class testing for our recreational class. Usually this will happen around week 8 or 9 each term. Specific testing dates each term can be found here:

    Recreational Calendar

    Why does WDYC do testing?

We do testing to ensure no child is left in a class that is too easy and it also gives parents a chance to see what skills a child needs to move up to a more advanced class. We send out Progress Reports after each term listing all the skills the child has achieved in their current class. You will usually receive this in the school holidays.

Why do they have zero skills checked:

The most common reason for this is they are new to this class type and missed testing week. We still send out blank reports so parents/kids can see the skills they are learning in this class type and what they need to do to pass.

If your child seems to not have got many extra ticks, it is likely they have not met our testing standards for that skill. Please visit our Develop Recreational Page for more information on testing criteria.

Where can I find the testing skills:

Please click these links to find each classes testing OR go to our Programs and find your child’s class.

    When will my child graduate?

Usually we expect most gymnasts to take 12 months to get all their skills ticked off. However, each child is unique in their own way and may progress more quickly OR might need a little extra time in their class.

If your child has mastered their class testing we will contact you as soon as possible with an offer to the next class. This usually happens in the second week of school holidays.

We find it best to support all children at their stage of development. Therefore, we will not progress a child until they have mastered all but 1 or 2 skills in their report. Progressing a child before they are ready can be detrimental for their long term development in the amazing sport of Gymnastics.

General queries about my child’s progress?

WDYC recommends parents or caregivers contact our reception team OR have a quick chat with your child’s coach. Sometimes coaches will be between classes and not have a lot of time to have an in-depth chat, however they are always so happy to help with quick queries or concerns. Please be mindful to remain kind and respectful to our coaches at all times. They are here to support your child in the best way possible. Verbal abuse of any kind will not be tolerated and your child’s position in our programs would be reviewed.

    Serious concerns or queries:

Second point for contact would be to contact our reception team who will pass your concerns or queries onto to a team leader or our manager. Our team leader’s or manager will walk you through the next best steps to resolve any concerns.

  • Here at WDYC we offer a range of competitive programs including:

    • Acrobatics Gymnastics (Enoggera Venue Only)

    • Tumbling (Enoggera Venue Only)

    • Aerobic Gymnastics (Enoggera Venue Only)

    • Women’s Artistic Gymnastics (Bardon and Enoggera Venues)

Each term when gymnasts in our recreational program do testing our Competitive Team Leaders look over the testing and ask the coaches to indicate any gymnast suited towards a competitive program. Team Leaders will then contact families offering a TRIAL/ASSESSMENT in one or maybe more of our competitive program that your child is suited towards.

Please note, a trial assessment does not guarantee that they are ready for the progression into a competitive pathway. Should this be the case the team leader will recommend the most appropriate recreational class to continue their development and positively challenge your child. Your child can always be re-evaluated at a later time.

  • During some school holidays WDYC will open up competitive trial days for ANY gymnast to come along too. These are a great way for families interested in a competitive pathway to come along and have their child assessed.

    What is being assessed:

    • Strength

    • Flexibility

    • Patience and Resilience

    • Mind body connection

    • Ability to take on feedback and apply it to their skills

    • Team work (especially for acrobatics or aerobics)

Please note, attendance to an open day does not guarantee your child is ready to progress into a competitive stream. Should this be the case the team leader will recommend the most appropriate recreational class to continue their development and positively challenge your child. Your child can always be re-evaluated at a later time.

Please keep an eye out around our Bardon and Enoggera Venues for information on how to register. We will also ensure we post the information on our socials (Facebook and Instagram).

  • Risk:

Participation in gymnastics carries an inherent risk of injury like any other sport or physical activity. Many gymnastics activities require inversion (turning upside down) of the body which in turn carries the risk of head or spinal injury. This risk is greatly controlled in a supervised class with a qualified and experienced coach. Parents should be aware of this risk prior to accepting membership.

    Safety:

Upholding the safety of all gymnasts is the key priority for coaching staff.  WDYC reserves the right to refuse or rescind a position in any group or class with a warning or counselling where a coach feels that an individual presents a risk to the safety of him/herself or others.

A gymnast’s failure to follow instructions or act reasonable, sensibly may constitute such risk. A coach will rescind a skill or drill from a gymnast should they have concerns of the gymnasts readiness, competency, and/or safety.

Physical or verbal abuse of a gymnast, staff or committee member may constitute such risk and is not tolerated within our venues or when at an external event.

  • Spotting is the physical assistance or the correction of a skill with the use of the coaches’ hands or specialised spotting equipment. It is a very important part of gymnastics, and it is important that parents are aware that coaches will be physically assisting your children in the performance or correction of skills.

A child can always request not to be spotted. In these cases, it needs to be understood that their skill progression may be slower and the coach will do everything in their power to support the gymnast in safely learning the skill through drills and preparation.

  • Our strategy for dealing with gymnast’s poor behaviour

Discipline is vital to the safety of the gymnastics program. To ensure we maintain a safe and enjoyable experience for everyone, we have implemented the following strategy to deal with any poor behaviour.

Warning 1 – A verbal warning will be given by the coach to the athlete together with the reason they have received the warning. An example would be for not following gym rules or behaviour in line with the code of conduct.

Warning 2 – The athlete will be sat out of the class for 5 mins and advised they have received a 2nd warning and the reason for it. The coach will also advise what will occur should the behaviour continue.

Warning 3 – This will result in the athlete sitting out for the remainder of the class or sent home. The coach will ensure the reasons are clearly identified and explained to the child. This will also be advised to the parent/guardian.

Please be aware that any physical or verbal acts of abuse/violence will result in immediate contact of parent and withdrawal of the child’s participating in the current lesson. The incident would also be escalated to a team leader or management.

  • Drop off and pick up policy

Please park in designated areas and drive with caution as there may be children about. We do offer a drop off and pick up zone for parents at our Enoggera venue*. However, at Bardon we consider this to be the concrete area in front of our reception.

*Enoggera Pick up/Drop Off Zone: this is not a designated parking area and under no circumstances are cars to be left unattended.

    Running Late?

If you will be running late for pick up please contact reception on 07 3369 8843. They can arrange to relay this message to your child if the class has not finished. Please also inform your child that should you not be in the agreed pickup zone when they are finished, they must wait inside in the gymnasium and notify a coach until you arrive. Coaches or WDYC will always stay with a gymnast until you arrive to collect them.

  • Notifiable Incidents & Illness

    • Or any illness of disease altered by the Department of Public Health and Infectious Diseases.

Once WDYC is notified of the incident, it will then pass on the information to its membership base. The purpose of notifying the members is to ensure they are proactive in recognising the signs and symptoms of the condition in case a family member contracts the illness.

WDYC will not identify the child/ parent who reported the incident and will not provide any further information apart from bringing the incident to the attention of our valued members. WDYC coaches or management reserve the right to refuse access to the premises if they consider any child/family member unfit for training or contagious.

Competitive program policies

  • Here at WDYC we offer a range of competitive programs. Please note, all positions in competitive programs are by team leader selection only. Please visit our pages for more information on each GymSport.

  • WDYC will periodically run competitive trial days for ANY gymnast to come along too.

    Competitive Handbook Coming Soon

  • Squad Membership is invitational and the individual athlete’s position in the squad will be reviewed on an annual basis. Invitations for squad membership are issued to athletes based upon a number of factors including but not limited to;

    • Potential to achieve

    • Previous competitive results

    • Gymnastics talent (Achievement of skills needed to be competitively successful)

    • Natural physical abilities

    • Mental aptitude / Understanding of complex Gymnastics skills and combinations

    • High level of coordination

    • Mental and physical toughness

    • A level of self-discipline and focus in and out of the gym

    •  Strong work ethic and internal drive

    • Independence, self-motivation and competitiveness

Generally, all athletes coming into a competitive program will undergo a trial period to allow the coach, athlete and family to assess their suitability to the program. This can be from 1 week to up to 6 months at the discretion of the Team Leader.

  • For each external event our team leaders will send through all the information and invoicing details. Please note, each event may have slightly different rules, policies, fees and uniform requirements. Please refer to the team leader’s email for official information.

Team Leaders will determine if and when gymnasts are safely ready to compete at an event.

Invoices must be paid in order for a gymnast to be entered into an external event. Failure to make payment will result in your child (and your child’s group —if you are an acrobat) being removed from the event.

In the event your child becomes sick or unwell, most events will keep 25% of the fee and refund the difference. This is only with an approved medical certificate on the day or prior to the event.

It is an expectation that all gymnasts, coaches, parents, family members and friends who are representing WDYC at an external event uphold our policies, procedures and code of conduct at all times. Any unsportsmanlike behaviour, abuse or failure to uphold our code of conduct may have your family’s enrolment revoked.
